Summary of Position

We are seeking a Meeting Coordinator to join our team within the North America Live Training (NALT) business unit. This candidate will be responsible for helping to plan and support SANS Internal Business Unit meetings, and special events. The estimated annual number of internal meetings and special events is 75-100. This position will work with the Senior Meeting Coordinator where each person will be assigned their own meetings and then collaborate on bigger events. Busy season for this role is between September and October during budget meeting season and in January in preparation for our Sales Kickoff and Author Summit. This is a fast-paced role that requires someone who can work well under pressure and handle last minute changes.

This is a remote based position with a preference for a candidate based in CST or MST to help with schedule coverage and travel. Travel is required for this position, and estimated travel will be 5-10 trips per year, for 3-6 days at a time with more travel expected between August-November during our budget season, as well as January during our Sales Kickoff and Author Summit.

Key Responsibilities

· Review meeting requests and build out meeting specs.

· Create and manage reservation lists.

· Write event agendas.

· Coordinate off-site events including group dinner reservations and team building events.

· Order business meeting kits and other AV items from the warehouse.

· Diagram event spaces as required.

· Review BEO’s and catering orders.

· Work on multiple events at one time

· Contract turnover and preparation. This includes creating folders with templates, planning documents, updating calendars, etc.

· Create “Know Before You Go” documents to keep meeting attendees informed.

· Reconcile billing and payment.

· Wrap up each event which includes following up on return shipments, post- event surveys, and ensuring hotel rewards points are collected.

· Other job duties as assigned.

Basic Qualifications

· BA/BS Bachelor’s Degree or equivalent, preferably in Hospitality Management

· Minimum of two to three years of professional experience preferably in a hotel sales or convention services department or as a meeting planner/coordinator

· Advanced knowledge of computer skills, especially with (Excel, Word), Dropbox, & Smartsheet

· Familiarity with hotel and restaurant contracts

· Comfortable working from home in a remote organization

Reporting Relationships

This position will report to the Director of Event Contracting and has no direct reports.

Work Environment

Remote work environment with the ability to travel approximately 5-10 times per year. Trips range from 3-6 days typically and will be travel within North America, primarily in the Midwest, Southeast, and West Coast regions.

The base salary range for this position is between $55,000 and $60,000. Base salary ranges may vary by geographic location and relevant experience, education, certifications, and years of experience. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
