POSITION SUMMARY/OBJECTIVE

The Service & Occupancy Inspection Clerk is responsible for supporting the local Turnover, Service, and Prop Ops teams in the execution of property management inspections and projects in the market. The clerk’s main responsibilities are to manage the Occupancy Inspection process, assist the Prop Ops department with municipal violations resolution, as well as work with other departments handling day-to-day property management tasks. The clerk reviews Salesforce frequently for new tasks and will serve as the liaison between the market and municipalities by ensuring compliance and scheduling of permitting requirements, inspection coordination, municipal violation resolution and relevant administrative support. Clear and concise communications with department managers, employees, contractors and residents, and frequent case file updating, as well as frequent communication with all stakeholders is critical to this role. This role also requires gathering receipts and documents, and accounting with maintenance contract billing information through the payable system.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Work directly with Assistant Service Director, Service Supervisor, and the Prop Ops team to aid in the administration of proper project file documentation and engage with local municipalities to obtain permits, schedule inspections, and investigate municipal violations – to drive job completion.
  • Constantly monitor Salesforce turn activity to discover need for Occupancy Inspections, municipal violations, or other inspections needed.
  • Promptly schedule and coordinate Occupancy and other inspections with local municipalities and code enforcement officers, some of which may require personal appearance at city offices.
  • Frequently update Salesforce turn and other tasks and Service Requests to reflect the most up-to-date information – including scheduled inspection date, and other information.
  • Meet with Code Enforcement and other government officials and provide access to properties when necessary.
  • Constantly monitor inspection dates, and promptly follow up to obtain Occupancy Inspection results, including obtaining Occupancy Inspection “PASS” documentation and promptly archiving.
  • In the event of an Occupancy Inspection failure, promptly gain necessary failure documentation. and report failure to necessary stakeholders to ensure they take swift action, and update Salesforce by failing the OI task.
  • Inspect turn and rehab properties for readiness, providing assessments of deficiencies that may lead to inspection failure.
  • Work with Prop Ops on existing violations, and update Salesforce and the Prop Ops team regarding current status, planned remediation, and record and document resolution.
  • Appear on behalf of Vinebrook Homes at court proceedings to testify regarding municipal violations and other matters.
  • Use company credit card, keeping track of receipts, and regularly submitting them for processing.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS AND ABILITIES)

  • Strong aptitude with computers, internet, network phone systems
  • High school diploma or equivalent
  • Two years related experience and/or training in resident service, dispatching or project management
  • Clear and concise communications (written and verbal)
  • Exemplary Customer Service skills
  • Data entry skills
  • Organizational skills
  • Time Management skills
  • Good driving record, and have a personal vehicle for use related to job duties (we provide a monthly auto stipend)
  • Basic understanding of various components of a home (meters, furnace, circuit breakers, etc)
  • Valid Driver’s License is a requirement

SUPERVISORY RESPONSIBILITY

This position has no direct supervisory responsibilities.

TRAVEL

Local travel is required, using your vehicle, to inspect, take photos, schedule inspections, etc. A monthly vehicle stipend is provided.
