Position Information Job Title Work Integrated Learning Data Specialist Appointment Type Part-time Temporary Position Dates Jul 1 2024 – Feb 2025 Hours per week/FTE 15 About the Position We are actively seeking a detail-oriented Work Integrated Learning Data Specialist with a passion for data management to join our team for an 8-month term, from July 1, 2024 – February 28, 2025, with the possibility of annual renewal.

In this role, you will be responsible for accurately receiving, inputting, filing, organizing, and reporting on extensive data sets provided by students regarding pre-placement requirements. With practicum start dates varying across the College’s Health and Allied Health programs, you’ll navigate through workload peaks and valleys. This variability entails a minimum commitment of 15 hours per week, with occasional peaks reaching 20-25 hours.

Position Details As a vital member of our team, the Work Integrated Learning Data Specialist will report to the Centre for Health & Wellness Work Integrated Learning Coordinator.

In this role, you’ll be responsible for meticulously managing and accurately maintaining large volumes of student data pertaining to pre-placement requirements. Proficiency in Microsoft Office Suite and a general understanding of data management are essential for success in this position. During the data collection process, regular interaction with students will be necessary, requiring both patience and finely honed interpersonal and communication skills.

Key Responsibilities:

Receive, analyze, and input large volumes of pre-placement requirement documents submitted by students with precision and accuracy.

Utilize HSPnet database and Canvas Learning Management System to manage documents and data.

Run reports and analyze data, identifying student non-compliance.

Manipulate data and combine reports in Excel, sort, filter, and/or merge with email to communicate non-compliance to students.

Follow up with students to obtain missing documents and ensure completeness of records.

Communicate with students via email or in-person and participate in Teams meetings as needed to explain required documentation and processes for submission.

Maintain accurate pre-placement requirements data on students throughout their program.

Strong attention to detail and commitment to accuracy in data entry and analysis with capability of maintaining accuracy and focus during prolonged periods of data entry.

Required Qualifications A two-year diploma with an Office Administration or Business Administration focus and a minimum of 2 years related experience working in an office setting requiring the ability to organize and plan how to address large volumes of data, working with large volumes of confidential information, and adherence to deadlines.

Must have excellent technical skills and be comfortable learning new computer systems and software. Prior experience with HSPnet database and Canvas LMS are an asset.

Combination of minimum of one-year post-secondary education in a related field; two years of experience in an environment where work was deadline driven and large volumes of information, including confidential documents, were managed; and demonstration of proficiency in Microsoft Office software applications (Word, Excel, Access, Outlook, SharePoint, Forms), email, internet navigation, and use of web-based applications may be considered.
