Job Description

RemotelyHR is currently hiring on behalf of our client for the role of a Virtual Assistant/Operations Coordinator. This is a remote position with a temporary nature to cover a team member on maternity leave, but there's a possibility for it to evolve into a regular, full-time position. (Please note that this position is a contract, 1099 role.)


</strong>Join the team of a well-known home design and lifestyle brand as a dynamic and experienced Virtual Assistant/Operations Coordinator. Your role will involve various administrative tasks, such as scheduling, calendar management, gifts and gratitude, team management, email consolidation, community management, website updates, and daily operational tasks.

<strong>Primary Responsibilities & Job Duties

</strong>Daily Email Management:

Review emails daily, flagging important ones, and inputting key items into the daily log document.

<strong>Executive Assistant Duties

</strong>Send morning updates, manage calendars, classes/appointments, check emails, handle customer service, and communicate with vendors and teams.

Responsible for scheduling, meeting agendas, and meeting notes.

<strong>Community Management

</strong>Monitor social media comments and DMs.

Respond to website inquiries and reviews.

<strong>Customer Service

</strong>Manage email correspondence regarding orders and handle customer-facing communication.

Coordinate with the e-commerce/retail team for returns and damaged items.

<strong>E-commerce Support

</strong>Assist the e-commerce team in adding new products to the catalog and website.

<strong>Monthly Reporting

</strong>Support with monthly reporting for bookkeepers.

<strong>Special Projects

</strong>Work on various projects such as photo organizing, asset management, and special requests.

<strong>Team Project Management

</strong>Manage team projects and communication, including onboarding and offboarding team members.

<strong>Virtual Consulting Coordination

</strong>Manage the virtual consulting program, including client communication, adding new designers, scheduling, and client communication.

<strong>Additional Responsibilities

</strong>Be a team player, managing tasks as they arise.

<strong>Skills And Qualifications

</strong>Dynamic and self-starting individual.

Able to multitask and handle multiple projects simultaneously.

Capable of working independently and completing tasks promptly.

Maintains professionalism in all interactions.

Extremely organized with strong communication and team collaboration skills.

Experience in a self-managed environment.

Ability to handle sensitive information with discretion.

<strong>Time Commitment

</strong>Hours: 40 hours/week (8 hours each day)

Must be available to work PST hours.


</strong>3+ years of experience as a virtual assistant, executive assistant, operations coordinator, or similar role.

Must have your own computer/internet setup.

Minimum typing speed of 50 WPM.

Proficient in G-Suite.

Knowledgeable in Canva or similar graphic design software.

Experience with Shopify & Airtable is a bonus but not required.
