This position is located onsite in Indianapolis, IN

Mission: Responsible for providing leadership, strategic and innovative thinking to the Short’s meetings and convention planning team as well as NCAA liaisons and service partners. This person will possess exceptional communication and collaboration skills, with the ability to work with, analyze and manipulate data and systems. In this role, the leader must be able to strictly manage projects while adhering to deadlines for superior outcomes.

Outcomes:

  • A qualified candidate will be able to develop strategies, implement plans, analyze performance, deliver financial reports while communicating directly with NCAA staff, Short’s staff members, NCAA service partners and external service providers.
  • Utilizes exceptional customer service capabilities: above average listening, negotiating and communication skills, creative thinking and problem solving, attention to detail with excellent follow through. Measured on accuracy of contracts, negotiations, response time and partner correspondence.
  • Builds strong, productive relationships with hotel vendors, hotel sales managers, national sales offices, convention centers, transportation companies, visitor bureaus, sports authorities, etc. to ensure customer satisfaction and execute programs in a fast-paced environment.
  • Ability to develop a strategy and think unconventionally about sourcing, contract negotiations, long term commitments and provide creative solutions. Partner with NCAA to develop and adhere to agreed upon budget.
  • Demonstrates the ability to be a good team player: cross-trained or is available for cross utilization, dependable and reliable, is flexible with the ability to multi-task.
  • We are a team at Short’s Travel Management and as such, the successful candidate may be expected to assist in other departments or handle tasks outside of the typical position scope for the benefit of NCAA or Short’s Travel Management.

Technical Skills:

  • Must have broad understanding of general business concepts and disciplines including finance/accounting, meeting/event management, corporate card programs, etc.
  • Experienced Microsoft Office skills specifically including Word, Excel, and PowerPoint
  • Experience with the Delphi system a plus
  • Ability to learn the Short’s Travel Meeting Management portal
  • Ability to discuss, strategize and implement technology efficiently and effectively
  • Experience working with IT to prioritize IT projects and development to enhance end user experience and/or data analysis

Requirements:

Qualifications:

  • Bachelor’s degree or equivalent experience required in hospitality management or another related field. Advanced degree preferred.
  • Minimum of 10 years’ experience in successful event management planning high volume, high velocity events. 15 years preferred.
  • Experience with nonprofit associations and eagerness to learn all aspects of the NCAA and their governance structure.
  • Strong executive poise and presence with leadership skills and experience managing a team of 7 or more.
  • Extensive experience managing and leading a broad team, in planning and executing a large convention of 3k+ attendees with 400+ NCAA and affiliate meetings, a trade show and multiple association-wide meetings and events.
  • Experience in review, selection, contracting, and oversight of large special event production companies
  • Event plan creation, management, and adherence with ability to pivot priorities as necessary.
  • Strong written and oral communication and interpersonal skills.
  • Maintains the highest possible level of confidentiality on behalf of the company.
  • Highly polished presentation development and delivery skills.
  • Strong organizational skills and problem-solving abilities.
  • Flexibility to work based on client or event specific requirements (non-traditional hours) as needed
  • Ability to travel (25%) is required.
