Basic Qualifications

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support role(s) and/or related experience is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Additional Qualifications and Skills

  • This position requires a self-starter with excellent organization, data and project management, communication, analytical, and interpersonal skills.
  • The candidate should have good professional judgment and know when to take initiative and when to ask questions in order to best prioritize work in an environment with multiple and often conflicting interests.
  • A commitment to detail and accuracy is essential, with a team player approach and an eagerness to measure and contribute towards ongoing improvements across the department.
  • A successful candidate brings a strong collaborative mindset and a customer service orientation.
  • This role requires a high-level of comfort in using and learning technology to support complex administrative and data management functions.
  • The use of Salesforce CRM, Acoustic Marketing and a variety of Microsoft Office Tools will be integral to accomplishing the day-to-day tasks of business operations within the department.
  • Previous hands-on experience with CRM, web marketing, Email Service Provider, data loaders, and Microsoft Office/Office 365 tools, is highly desirable.

Additional Information

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA-based campus 3 days per week. Specific days and schedules will be determined between you and your manager.

This role is 40 hours per week and is overtime eligible

Position Description

Data Quality and Reporting:

  • Uphold refined database practices within Salesforce (CRM) and Acoustic (marketing tool)
    • Validate and update constituent data – based on weekly email monitoring reports
    • Perform regular audits, updating event registrations, email preferences, researching anomalies and maintaining accuracy across all groups
    • Work closely with the Data and Communications Coordinator to ensure data monitoring and updates are synchronized and accurate
    • Receive and process records for new and updated data entry requests
    • Research and confirm constituent data through internal and external web searches
  • Perform daily revisions based on data integrations
    • Monitor new data as it arrives into Salesforce, confirming modifications are up to date Identify any data challenges or inconsistencies and escalate as needed
    • Review weekly audits of email communications and implement necessary updates
  • Work regularly with department wide reports in Salesforce and Acoustic
    • Identify improvements and work towards effective and accurate reporting needs
    • Provide accurate event statistics to department management and other stakeholders
  • Review and enhance the cross-department events and communications calendar, supporting department wide planning and information sharing
    • Collaborate with department colleagues to understand the current activities and needs around their programming, events and digital communications
    • Work in partnership with department colleagues in preventing conflicting event dates, times, and overlapping constituents

Administrative Support and Business Processes:

  • Attend and contribute to monthly Salesforce User Group Meetings
  • Work collaboratively with department colleagues to address specific data projects and timelines
  • Maintain department-wide taxonomy documentation
  • Work closely with colleagues across various departments, including IT, Marketing and Communications, MBA and External Relations
  • Support department colleagues with digital communication troubleshooting and escalation

This role is responsible for other duties as assigned.
